Soapbox Engage Onsite is opened with a Soapbox account, so each staff member or volunteer working your event needs one. Access is controlled entirely by the account's group — there is no separate permission for the app.
Which accounts can open the app
Only accounts in one of these groups can use Engage Onsite:
- Manager
- Administrator
- Super Administrator
Accounts in any other group are refused, including Registered, Author, Editor, and Publisher accounts, and any custom group you have created. Those account types are for the front end of your website and do not grant access to the app.
Important: Manager is the lowest level that works, and it is the right choice for volunteers. Do not raise someone to Administrator or Super Administrator simply to get them into the app — those levels carry far broader access to your site.
To give a staff member access:
- Open the User Manager in the administrator.
- Click New, or click the name of an existing user.
- Enter their name, username, email address, and password.
- For Group, select Manager.
- Click Save.
Give them the app address — your site address followed by /sbxapp — and ask them to sign in before the event rather than at the door.
Removing access after an event
Volunteers who only work one event should not keep an account with backend access indefinitely. After the event, either block the account or move it to a front-end group in the User Manager.
Why the person matters
Whoever is signed in is recorded against the work they do. Donations and orders taken in the app show the staff member who collected them on the record in the administrator, which is what lets you reconcile a cash drawer or answer a question about a particular transaction. Shared accounts destroy that trail — give each person their own.
