Sending a guest their auction bidder link

When your event has an auction attached, the check-in desk is the natural place to get guests bidding. Soapbox Engage Onsite can email a guest their auction link as part of checking them in, so they can register as a bidder on their own phone while they walk into the room.

To send the link:

  1. Check the guest in as normal.
  2. On the Success! confirmation, tap Send Auction Link.

The button confirms Link Sent once it has gone.

You can also send it later, from the guest's record:

  1. Open the attendee list.
  2. Tap the guest's name to open their record.
  3. Tap Send Auction Link.

When the button appears

Send Auction Link only appears when the event your team is checking guests into is associated with an auction. If it is missing, the event has no auction attached — associate the auction with the event in the administrator and it appears.

Note: The link goes to the email address on the guest's registration. A guest who registered without one has nowhere to receive it — capture an address on their record first. See Viewing and updating a guest's details at the door.

Sending it more than once

The button disables itself after sending so a guest is not mailed the same link repeatedly by two different staff members. To send again — a mistyped address, or a guest who cannot find the email — correct their details on their record first.

When to use this rather than registering them yourself

Sending the link lets the guest do it themselves, which suits a busy door. If the guest is standing there and wants to be sorted out now, register them as a bidder directly instead — see Registering and managing bidders from the floor.
