Responding to Leads marked as Match Review Needed

When a Lead is created from a Soapbox Donation, Soapbox Event registration, Soapbox Shop order, Soapbox Petition, or Soapbox Action, it may be flagged for review depending on the system's evaluation of it along established matching criteria. If it is flagged for review, you can compare the Lead to existing Contacts to see if there is, indeed, an appropriate match and edit the Lead, as appropriate, to create a direct match.

To convert the Lead, you have two options - except for Soapbox Recurring Donation Payment Lead records for which you can only use option 2:

1) Update the Lead first to match an existing Contact and trigger the auto conversion process again

Preparing the flagged Lead record for auto conversion

Once you locate the Contact you wish to match, prepare the flagged Lead record for auto conversion by editing it by

  1. unchecking the Donation Match Review Needed checkbox; and
  2. editing the First Name, Last Name, and Email to match the corresponding Contact record - or editing the Contact record to match the Lead.

Auto converting the flagged lead

After doing so, you can trigger auto conversion process contained in Soapbox Donations for Salesforce and Soapbox Events for Salesforce by doing the following:

  1. Go to the Campaign the Lead is associated with
  2. Scroll down to the Campaign Members related list on the Campaign record
  3. Find the Lead in question and Remove it from the Campaign
  4. In the same section of the form, add the Lead back to the Campaign
  5. Confirm that the Lead has been converted as expected

Why does this work?

The auto conversion process for Soapbox Donations for Salesforce and Soapbox Events for Salesforce is triggered when a new Lead is added as a Campaign Member to a Soapbox Donation or Soapbox Registration Campaign. Removing the Lead and adding it again causes the matching and auto conversion triggers to fire again.

2) Convert the Lead using the Convert button and manually update the Opportunity record name

Click the Convert button for the Lead

Once you locate the Contact you wish to match or determine if the Lead should become a new Contact, click the Convert button.

Select the desired options on the Convert Lead view

If using the Salesforce Enterprise Edition, on the Convert Lead view:

  • Choose the appropriate option for the Account
  • For a Soapbox Donation, Soapbox Event registration, or Soapbox Shop order, ensure that "Do not create a new Opportunity upon conversion" is NOT checked. For a Soapbox Petition signature or a Soapbox Action, DO check "Do not create a new Opportunity upon conversion"
  • For consistency's sake with other Soapbox Opportunity records, update the Opportunity Name as follows:

    • For Soapbox Donations: {Donor Name} - YYYY-MM-DD - Donation
    • For Soapbox Recurring Donations: {Donor Name} - YYYY-MM-DD - Recurring Donation
    •  
    • For Soapbox Recurring Donation Payments: {Donor Name} - YYYY-MM-DD - Recurring Donation Payment
    • For Soapbox Event Registrations: {Registrant Name} - {Salesforce Campaign Name} - Event Registration
    • For Soapbox Shop Orders: {Purchaser Name} - YYYY-MM-DD - {Salesforce Campaign Name} Order
  • Click Convert
  • On the next view, choose the appropriate option for the Contact
  • Click Convert

If using the Salesforce Nonprofit Success Pack, on the Convert Lead view:

  • Choose the appropriate option for the Contact
  • For consistency's sake with other Soapbox Opportunity records, update the Opportunity Name as follows:

    • For Soapbox Donations: {Donor Name} - YYYY-MM-DD - Donation
    • For Soapbox Recurring Donations: {Donor Name} - YYYY-MM-DD - Recurring Donation
    • For Soapbox Recurring Donation Payments: {Donor Name} - YYYY-MM-DD - Recurring Donation Payment
    • For Soapbox Event Registrations: {Registrant Name} - {Salesforce Campaign Name} - Event Registration
    • For Soapbox Shop Orders: {Purchaser Name} - YYYY-MM-DD - {Salesforce Campaign Name} Order
  • For a Soapbox Donation, Soapbox Event registration, or Soapbox Shop order, ensure that "Do not create a new Opportunity upon conversion" is NOT checked. For a Soapbox Petition signature or a Soapbox Action, DO check "Do not create a new Opportunity upon conversion"
  • Click Convert
  • If you converted a Soapbox Recurring Donation Payment Lead record, on the newly created Opportunity, update the Recurring Donation lookup with the appropriate value from the original Soapbox Recurring Donation Opportunity record for this recurring donation

Review records to confirm accuracy

Review the various records created for accuracy.
