Creating, editing, and filtering offline transactions in the Transactions view

In the Donations app, you have the ability to create records in the Donations > Transactions view for one-time payments and initial recurring payments made offline and associate those payments with a given Donation form and individual Fundraising Page. Any offline transaction added to Soapbox and associated with a Donation form and individual Fundraising Page will have that transaction included in the front-end peer-to-peer progress metrics.

Any Offline Transaction entered in Soapbox will not be saved to Salesforce.

Entering initial recurring payments as offline transactions facilitates the onboarding of subsequent recurring payment data into Soapbox and Salesforce for subscriptions created outside of the Soapbox Donations app.

To create a one-time or initial recurring Offline Transaction in Soapbox:

  • Go the Transactions view in the Donations app
  • Click the New Offline Transaction icon
  • For Amount, enter the amount of the transaction
  • For Date, enter the date of the transaction, if it is a one-time payment. For initial recurring payments, enter the date of the most recent transaction for the recurring donation.
  • For Transaction Frequency, choose Once if it is a one-time payment. If you are entering the initial recurring transaction of a subscription, select Monthly or Annual.
  • For Transaction Id. enter the Id from the payment processor. This is an optional field.
  • For Subscription Id, if you selected Monthly or Annual as the Transaction Frequency, enter the Subscription Id from the payment processor. This will be necessary for onboarding subsequent recurring payment records.

    IMPORTANT NOTE: For Braintree, the Subscription Id needs to be formatted as customer-ID:subscription-ID.
  • For Last Four Digits of Credit Card, enter the last four digits of the credit card used for this transaction. This is an optional field. It is most useful if your site allows logged in front-end users to view, update, or cancel their subscriptions.
  • For Credit Card Expiration Month, enter the number of the expiration month of the credit card used for this transaction. This is an optional field. It is most useful if your site allows logged in front-end users to view, update, or cancel their subscriptions.
  • For Credit Card Expiration Year, enter the four digit expiration year of the credit card used for this transaction. This is an optional field. It is most useful if your site allows logged in front-end users to view, update, or cancel their subscriptions.
  • For the Contact Information, enter the relevant values for the donor. If the donor wishes to not have their name associated with their donation when displayed on the front-end peer-to-peer views, tick off Anonymous
  • For Donation Form, begin typing the name of the Donation form with which you wish to associate this offline transaction. Select the desired option from the suggestions Soapbox provides.
  • For Transaction Description, the Transaction Description of the selected form will automatically populate this parameter. If you wish, you may alter it. This is an optional field. It is most useful if your site allows logged in front-end users to view, update, or cancel their subscriptions.
  • For Fundraising Page, begin typing the name of the Fundraising Page of the Donation form with which you wish to associate this offline transaction. Select the desired option from the suggestions Soapbox provides.
  • For Supporter Message, enter any message provided by the donor for the purpose of being displayed on the front-end peer-to-peer views
  • Click Save

 To edit an existing Offline Transaction:

  • Go the Transactions view in the Donations app
  • Find the Offline Transaction you wish to edit
  • Click the hyperlinked name of the donor
  • In the transaction detail view, click the edit icon
  • Edit the values of the Offline Transaction as you wish
  • Click Save

To filter for Offline Transactions:

  • Go the Transactions view in the Donations app
  • Click the filter icon to the right of the page to open the filter pane
  • Scroll to the bottom of the filter pane
  • For Transaction Source, select Both By Soapbox and Offline, By Soapbox Only, or Offline Only, depending on your preference
  • Click Save
