Marking a fulfillment complete or uncollectable

With the Auctions app, you close off each won item on the Fulfillments tab — either because the winner has received it, or because you have accepted that it will never be collected. Both are done by hand, because only your team knows what happened in the room.

Marking an item complete

Use this when the winner has the item.

1. Open the auction and click the Fulfillments tab.
2. Select the fulfillment.
3. Click Fulfilled in the toolbar.

The row moves to Complete.

Note: The button says Fulfilled and the resulting status reads Complete. They are the same action.

At a live event the practical pattern is to mark items complete as you hand them over at the collection table, so the remaining list is exactly what is still to go out. For posted items, mark them complete when they are actually sent rather than when you print the label.

Marking an item complete does not charge anyone. If a winner takes their item without having paid, the fulfillment can sit at Complete while payment is still outstanding — which is why the tab tracks payment and handover separately.

Marking an item uncollectable

Use this when you have decided the item will not be paid for or collected, and you want it out of your working list.

1. Open the auction and click the Fulfillments tab.
2. Select the fulfillment.
3. Click Mark Uncollectable in the toolbar.

The row moves to Uncollectable.

Typical reasons:

• The winner cannot be reached, or has declined the item
• Their card cannot be charged and they will not supply another
• The item was damaged, withdrawn, or given away at the event

Important: Uncollectable is a bookkeeping decision, not a refund. It records that you have stopped pursuing this item; it does not reverse a payment that has already been taken. If money was collected and needs returning, refund it through your payment processor.

Marking an item uncollectable does not put it back into the auction or make it available to the next-highest bidder.

Deciding between them

The winner has the item	The winner will never have the item
Fulfilled → Complete	Mark Uncollectable

Both take the item out of your outstanding list. What differs is what your records will say afterwards — and at the end of an auction, the count of uncollectable items is a number worth knowing rather than hiding among completed ones.
