Checking in a guest by searching for their name

updated

Not every guest arrives with a scannable ticket. Your team can find anyone on the guest list by name, email address, ticket number, bidder number, or the name of the person who bought their ticket, and check them in by hand.

To check a guest in from the list:

  1. Tap Events in the app, or tap Check in guests on the Home screen.
  2. Tap the event you are working.
  3. Tap the Attendee list button at the top of the screen.
  4. In the search box, enter the guest's name, email address, ticket number or bidder number, or the purchaser's name or organization.
  5. Find the guest in the results.
  6. Tap Check In on their row.

The row updates to show they have arrived, and the checked-in count goes up.

Note: Search matches on name, email, or ticket number, so a guest who booked under a partner's name can be found by the email address on the booking.

On an event linked to an auction, each guest who is a bidder shows Bidder # and their number on their row. To find a guest by that number, type # and the number, for example #12. That lists only the guest who holds bidder number 12. A number typed without the # also matches ticket numbers and email addresses that contain it.

A guest whose ticket was bought by someone else shows Guest of and the purchaser's name. Searching the purchaser's name or organization lists every ticket on their order, including a ticket that has no guest name yet, which is listed as "Guest of" the purchaser.

On an event that creates bidders at check-in, a guest whose email address is already another guest's bidder is checked in without a bidder of their own. The confirmation and their row read, for example, "No bidder: same email as bidder #104, Maria Lopez". See What to do when two guests share an email address.

Filtering the list

The list can be filtered to show everyone, only guests who have checked in, or only guests still to arrive. Late in an event, filtering to those still to arrive is the quickest way to see who is outstanding.

Clearing a search

Tap the clear button in the search box to return to the full list.

If the guest is not on the list

Soapbox Engage Onsite checks in guests who already hold a reservation. Someone who has not registered cannot be added at the door in the app — take their registration through your event page, or add the reservation in the administrator, and they will then appear in the list.
