Adjusting or removing a line item

With the Auctions app, you can correct what a bidder owes by adjusting or removing a line in their checkout. Every change needs a reason, and each one is recorded in the bidder's activity.

Adjusting a line

1. Open the Auctions Manager.
2. Click the title of the auction you want to manage.
3. Click the Checkouts tab.
4. Click the bidder's name, or click Open on their row.
5. Under Line items, click Adjust on the line you want to change.
6. For New amount, enter what the bidder should owe for this line. It can be $0.00.
7. For Fair market value, check the value. It is filled in with the item's current fair market value. Leave it empty if the item has none.
8. For Reason (required), enter why you are making the change. The reason is shown on the bidder's receipt as adjusted by your organizer.
9. Click Save adjustment.

The message "Line adjusted to $X." confirms the change.

When you save:

• The Deductible is calculated for you: the amount less the fair market value, never below $0.00. If the fair market value is empty, the whole amount is deductible. There is no field to enter the deductible yourself.
• The Sales tax is recalculated straight away.
• The line shows "Adjusted from $X — reason", with the original amount struck through.

If a field isn't valid, the dialog tells you what to fix, for example "Enter a reason for the adjustment."

Removing a line

1. Open the bidder's checkout, as in steps 1 to 4 above.
2. Under Line items, click Remove on the line.
3. At "Remove [item] ($X) from this checkout? This can't be undone from here.", enter a reason in Reason (required).
4. Click Remove.

The message "Line removed." confirms it. The line no longer appears under Line items, and its amount no longer counts toward what the bidder owes.

Important: You can't undo a removal from the checkout. Check the item before you click Remove.

What you can't change

Sales tax and processing fees aren't line items, so they can't be adjusted or removed. Sales tax appears below the lines, and each processing fee appears with the card payment that carried it.

If the bidder has already paid

Lowering or removing a line can leave a bidder who has paid owed money back. Their status changes to Refund due, and Take a payment reads "This bidder is owed $X. Refund it from a payment in Payments and Adjustments." See Refunding a payment or reversing a write-off.

Raising a line has the opposite effect. The bidder owes more, and their status becomes Partially paid. Take a payment, or send them a checkout link.

The record of changes

Every adjustment and removal appears under Communications & activity in the bidder's checkout. It shows as Line Adjusted or Line Removed, with the amounts before and after, the reason, and who made the change.
