Sending confirmation emails to event orderers with the Events app

With the Events app, you have the ability to send confirmation emails to orderers. This can include text or merge fields related to their registration. You also have the ability to CC or BCC staff on the confirmation emails. Emails can use the Standard or Custom template.

You can also set a default confirmation email for all Soapbox Events that use the default by going to Soapbox Events > Configuration in the administrator.

To set the confirmation email for a specific Soapbox Event:

  • Open the Soapbox Event for which you wish to customize the confirmation email
  • Click the Messages tab
  • For Send Email to User, choose Yes or No
  • For Send Copy (CC), enter a comma separated list of email addresses who you wish to receive a carbon copy of the email
  • For Send Blind Copy (CC), enter a comma separated list of email addresses who you wish to receive a blind carbon copy of the email
  • For Email Subject, enter the subject line of this email, if you wish to create a custom email for this Soapbox Event
  • For Email Template, select Use Global Config to use the option set in the Events > Configuration or choose Standard or Custom individually for this email

    NOTE: This selection will also determine if the Standard or Custom template is used for any scheduled emails you create for this event.
  • If the event uses the Standard template:
    • For Host Header, enter the header text to appear after the event details in the Standard template. This text is optional.
    • For Host Message, enter the body text to appear after the event details in the Standard template. This text is optional. You can also include the following variables (or merge fields) in curly brackets that reference details of their registration, however, most of these elements will be included in the Standard email template already:
      • {name}: The First Name and Last Name of the ticket orderer, as provided in the Contact Information section of the registration form
      • {orderer_first_name}: The First Name of the ticket orderer, as provided in the Contact Information section of the registration form
      • {orderer_last_name}: The Last Name of the ticket orderer, as provided in the Contact Information section of the registration form
      • {eventtitle}: The title of the event
      • {starttime}: The start time of the event
      • {endtime}: The end time of the event
      • {startdate}: The start date of the event
      • {enddate}: The end date of the event
      • {amount}: The amount charged the ticket orderer for their reservation
      • {tickets}: The number of tickets reserved
      • {eventurl}: The url of the event details
      • {ticketslist}: An itemized list of tickets reserved for a given order to be displayed in the format:

        Ticket 1 Quantity x Ticket 1 Name = Total for Ticket 1
        Ticket 2 Quantity x Ticket 2 Name = Total for Ticket 2
        Ticket 3 Quantity...
        If a donation is made as part of the registration, it will be noted at the end of the itemized list of tickets:

        Ticket 1 Quantity x Ticket 1 Name = Total for Ticket 1
        Ticket 2 Quantity x Ticket 2 Name = Total for Ticket 2
        1 x Donation Option Title = $10
      • {zoomwebinarid}: The Id of the Zoom Meeting or Webinar associated with this event, if the event has been integrated with Zoom
      • {webinarattendeelinks}: A list of attendees with personalized webinar links to be displayed in the format, if the event has been integrated with Zoom:

        FirstName LastName
        Email
        Personalized Webinar Link: Click to Join
      • {addtocalendar}: Displays links to add the event to a calendar
    • For Donation Subheading, customize the subheading of the Order Summary section that appears when an optional donation is made as part of a registration
  • If the event uses the Custom template:
    • For Email Text, use the editor to enter the text you wish to appear in the body of the email. You can include images and other elements that will appear if the recipient's email service accepts HTML-formatted emails. You can also include the following variables (or merge fields) in curly brackets that reference details of their registration:
      • {name}: The First Name and Last Name of the ticket orderer, as provided in the Contact Information section of the registration form
      • {orderer_first_name}: The First Name of the ticket orderer, as provided in the Contact Information section of the registration form
      • {orderer_last_name}: The Last Name of the ticket orderer, as provided in the Contact Information section of the registration form
      • {eventtitle}: The title of the event
      • {starttime}: The start time of the event
      • {endtime}: The end time of the event
      • {startdate}: The start date of the event
      • {enddate}: The end date of the event
      • {amount}: The amount charged the ticket orderer for their reservation

  • Click Save

NOTE: If you have Salesforce integration enabled, you may wish to set Send Email to No and create a workflow within Salesforce that sends the confirmation email to the ticket orderer.
