Understanding the Fulfillments tab

With the Auctions app, the Fulfillments tab is where you follow each won item from the moment it sells to the moment the winner has paid and taken it away. It is the working list your team uses after bidding closes.

To open it:

1. Open the Auctions Manager.
2. Click the title of the auction you want to manage.
3. Click the Fulfillments tab.

Where the rows come from

You do not create fulfillments. A row appears automatically when an item sells — when a bidding item closes with a winning bid, or a fixed price item is purchased. The item's own status becomes Sold at the same moment, and the fulfillment is linked to the winning bid, so the sold price follows from the bid rather than being typed in.

An auction with no sold items has an empty Fulfillments tab. That is expected before bidding closes.

What the list shows

Use the Filter field to narrow the list, then click Go. Click Reset to clear it.

The four statuses

Note: The toolbar button that sets the last-but-one status is labeled Fulfilled, while the status it produces reads Complete. They are the same thing.

Paid and Complete are separate on purpose. A winner can have paid days before they collect, and at a live event people frequently collect items they have not yet paid for. Keeping the two apart lets you see, at a glance, who still owes money and who still has something to pick up.

How this differs from the Winning Bids tab

The two tabs answer different questions and it is worth knowing which to open:

• Winning Bids — who won what, and for how much. Use it for results, and for the export that carries winner contact and shipping details.
• Fulfillments — what still needs doing about it. Use it for collecting money and handing items over.
