Auction item field reference

Every field on the auction item form, grouped by what it is for. Open an item from the auction's Items tab to see them.

Identity

Field
Name What bidders see. Required.
Number The item's number in your catalog, used on lot cards and printed programs.
Category Groups the item on the auction home page. Categories are managed on the auction's Categories tab.
Featured Set to Yes to show the item in a Featured row at the top of the auction home page, as well as in the normal grid.
Donated By Who donated the item. Useful for acknowledgment in your program.

Item Type

Choose how the item sells:

  • Silent Bidding — bidders bid online and the highest bid wins when the item closes. The default.
  • Live Bidding — the item is run by an auctioneer in the room, with bids and the winner recorded by hand.
  • Fixed Price — no bidding; bidders click Buy Now and pay the set price. Fixed price items can carry inventory.

Pricing

Field Applies to
Starting Bid Bidding items. The opening bid. Required.
Minimum Bid Increment Bidding items. The smallest amount by which a bid must rise.
Reserve Price Bidding items. The least you will accept. The item page tells bidders whether the reserve is met, without revealing the figure.
Buy Now Price Fixed price items. What the item sells for.
Retail Price Reference only — what the item would cost to buy normally.

Value shown to bidders

Field
Fair Market Value The item's estimated value. In many jurisdictions this is what a winner's deductible amount is calculated against, so it is worth getting right.
Display FMV as Priceless Set to Yes to show Priceless instead of a figure — for experiences and one-off items where a number does not make sense.

Descriptions and photos

Field
Online Description Shown on the item page. This is the one bidders read.
Print Description A shorter version for printed programs and lot cards.
Photos Images for the item. The first is used on the item card in the grid; the rest appear as a thumbnail strip on the item page.

Inventory

Only meaningful for fixed price items.

Field
Limit Inventory Set to Yes to cap how many can be sold.
Inventory Quantity How many you have.
Sold How many have gone. Read-only.
Available What remains. Read-only.

Shipping

Field
Requires Shipping Set to Yes if the item must be posted rather than collected. Winners are asked for a shipping address.
Shipping Cost What to add for postage. Appears in the winning bids export alongside the sold price.

Visibility

Field
Published No hides the item from the front end completely, from everyone, signed in or not.
Visibility Public shows it to everyone. Private hides it from visitors who are not signed in — they do not see it in the grid, and opening its link directly asks them to sign in.

Note: These two are independent, and both must allow an item before it appears. An unpublished item is hidden however its visibility is set.

Internal

Field
Fulfillment details How the winner gets the item — collection point, delivery notes, voucher instructions.
Internal notes Notes for your team. Never shown to bidders.
