With the Auctions app, you can email every bidder who still owes money a fresh checkout link in one step. You review the list first and choose who receives a reminder. Each bidder can then open their own checkout and pay.
Sending reminders
- Open the Auctions Manager.
- Click the title of the auction you want to manage.
- Click the Checkouts tab.
- Click Send Reminders to All Unpaid.
- In Review reminders, check the list of bidders. Untick anyone you don't want to email.
- Click Send N reminders, where N is the number of bidders ticked.
Nothing is sent until you click Send N reminders. Keep the window open until sending finishes.
Reminders go to every bidder who still owes a balance, including bidders who are Partially paid. Bidders who owe nothing are not listed.
The review
The review lists each bidder with a balance and an email address:
| Column | What it shows |
|---|---|
| Bidder # | The bidder's number. |
| Bidder | The bidder's name. |
| The address the reminder goes to. | |
| Balance | What the bidder still owes. |
| Last contacted | When a checkout link was last sent to the bidder, or "Never". Bidders inside the resend cooldown are marked Within cooldown. |
The line at the bottom shows how many bidders are selected (for example "12 of 15 selected") and the total balance they owe. Use the checkbox in the heading to tick or untick everyone. When no one is ticked, the button reads Send reminders and can't be clicked.
Bidders within the cooldown
The auction's Resend Cooldown (Minutes) setting sets how long to wait before the same bidder is sent another link. The default is 30 minutes. Bidders who were sent a link within that time start unticked, and the review says "Bidders contacted in the last N minutes start unticked."
Leave them unticked to skip them. If you tick one of them, they are sent a reminder anyway.
Bidders with no email address
Bidders who owe money but have no email address are listed under Not included, with the reason "No email address — open the checkout to send a text". Click Open checkout beside a bidder to open their checkout, where you can text them a link. See Sending a bidder a checkout link.
If no bidder with a balance has an email address, the review reads "No bidders with a balance have an email address."
The results
When sending finishes, Reminder results shows how many were sent, how many were not selected, and how many failed. Each bidder is listed with an outcome:
| Outcome | Meaning |
|---|---|
| Sent | The reminder was emailed. The detail shows the address. |
| Failed | The email could not be sent. The detail gives the reason. |
| Not sent | You left the bidder unticked. The detail reads "Not selected", and adds when they were last contacted if they were within the cooldown. |
Click Done to close the results. If any reminders were sent, the list reloads so each bidder's Last contacted time is up to date.
If someone else on your team is already sending reminders for the same auction, you'll see "A bulk reminder send is already running for this auction". Wait for it to finish, then try again.
What the bidder receives
Each bidder receives the same email as a single checkout link, titled "Your checkout link". It tells them they have a checkout balance ready to pay, gives a View and pay your checkout button and the date the link expires, and lets them copy the link if the button doesn't work. The bidder sees the amount they owe once they open their checkout.
- Every reminder is a new link. Once it has gone out, the bidder's older links stop working.
- A reminder counts as a link sent, so it starts that bidder's resend cooldown.
- Reminders are sent by email only. To text a bidder, open their checkout and use Send link.
Note: On a large auction, the tab updates up to 50 bidders each time it loads. Reload until the Bidder checkouts count stops changing — and before you charge a batch, reload until the figures stop changing.
