With the Auctions app, Auctions > Items lists the items in every auction on your site in one place. Use it to look back at past years, find items worth running again, copy them into a new auction, or export a report.
This screen is read-only. To add, edit, delete, import, pause, end or cancel items, use the Items tab of the item's own auction. See Managing Auction Items.
To browse items:
- Navigate to Auctions > Items in the administrator.
- Search, filter or sort the list. The Items Shown count tells you how many items match.
- Click an item's name to open its record.
Finding items
- Search looks in item names, lot numbers and donors.
- Auction narrows the list to one auction, or shows All auctions. Every auction is listed, newest first, including ones that have ended.
- Filters: click the filter button (Show filters), choose any of the filters below, and click Apply. Clear All empties them; click Apply afterward. While filters are on, the button shows how many.

The list remembers your search, filters and sort. A new search or filter returns to page 1.
What the list shows

Sorting and paging
Click a column heading, or choose from Sort By, which adds Lot #, Category, Auction Date, Donated By and Soapbox Id, each ascending (ASC) or descending (DESC). The list opens with the newest auction first. Items with no value in the sorted column come last.
Use the pager below the list to change pages or page size. The checkbox in the heading selects only the items on the current page.
Opening an item
Click an item's name to see its full record, read-only, in cards from Item Information through Display and Record. The toolbar offers:
- Open in Auction: opens the auction's Items tab in a new browser tab, where you can edit the item.
- Copy to an Auction: copies this item. Choose the auction under Copy into, then click Copy 1 item.
- Close: returns to the list.
Copying items to an auction
- Select the items to copy.
- Click Copy to Auction.
- Review the list in the dialog. If the items come from more than one auction, it warns "Your selection spans N auctions".
- For Copy into, choose the target auction.
- Click Copy N items.
Each copy is a new item in the target auction, and the originals don't change. Every setting on the item form comes across, including photos and the published setting, so a published copy is visible straight away if the target auction is open. The category is matched by name in the target, or created there. Bids, winning bids, purchases, fulfillment history and the item's status don't copy, so a copy of a sold item starts fresh.
Note: A copy keeps its lot number, even if an item in the target auction already has that number. After copying, check the target's lot numbers and change any duplicates.
A message at the top of the list reports the result: N items copied to [auction]., N of M items copied to [auction]. followed by the reason for each item left out, or Nothing was copied. with the reasons. Common reasons:
- "[Item]" is already in this auction. The item is skipped.
- This auction does not include [Silent Bidding, Live Bidding or Fixed Price] items. Include that type in the target auction first. See Choosing what's in an auction.
- A required value is missing, for example Starting bid is required. Fix the original, or add the item by hand.
Each auction's Items tab has the same copy, as Copy From Auction. See Copying items from a previous Auction.
Exporting a report
Click Export to download a CSV of every item matching your current search, auction, filters and sort, across all pages. Each row names its auction and date, alongside the item's lot number, category, type, status, bids, values, shipping, fulfillment and display settings. Use it for procurement planning, insurance schedules or fair market value totals.
Important: This export is a report and can't be imported. To export items you can edit and import again, use Export on the auction's own Items tab. See Exporting auction items to a CSV file.
