What purchasers and guests see when they open a guest details link

updated

When you send a guest details request, each recipient gets an email with a personal link. This article describes what they see, so you can answer their questions.

The purchaser's order

A purchaser's link opens My Order for that event without signing in. A notice reads "Name each guest by" followed by the date changes close. For an order with one ticket, it reads "Tell us who's coming by" and the date.

Each ticket is a row with fields to fill in, a details status, and a set of actions.

The fields. Each ticket shows up to five fields: First Name, Last Name and Email Address, then up to two more of the fields and questions the event collects. Fields required before the event come first, then other required fields, then optional ones. A field that is required and still blank is marked "Required before the event".

A ticket with more than five fields has a More details section listing the rest with their values. When any of those are missing, it reads "More details" followed by how many are missing. Edit details inside it opens the ticket's full form. A ticket whose fields all fit has no More details section.

Note: Text, long text, lists and yes or no questions can be filled in on the page, along with the standard Salutation, Organization, Title and phone fields. Address fields are always under More details. So are custom questions that ask for a date, a lookup, a number, an amount, a web address or a phone number, and any question with display rules.

The actions.

  • Save stores everything entered in that ticket's row.
  • Copy Link copies the guest's own link, so the purchaser can send it by text or another way.
  • Invite emails the guest their link. The ticket then shows "Invited" with the date.
  • Replace guest clears the ticket so a different guest can be named. The earlier guest's link stops working.
  • Assign to followed by the purchaser's name puts the purchaser's own name and email on an unnamed ticket.

Invite all named guests, above the table, emails every guest who has a first name, last name and email address.

A purchaser can save a name now and add the other details later. The ticket's status stays "Details needed" until every required field is filled in.

Faster check-in for you. When the event offers bidder sign-up and one of the order's tickets carries the purchaser's own email address, a box above the tickets reads "Faster check-in for you" with an Add a card button. It opens the card step for the purchaser's own ticket, described below. The box goes away once the purchaser has a card on file for the auction.

Once a guest saves their own details, the purchaser can no longer change that ticket. Its row shows the guest's name with the same fields as text, and More details reads "The guest saved these details."

The guest's ticket

A guest's link opens a form for their own ticket, without signing in. It shows the fields and questions the event collects, with what the purchaser already entered. A notice reads "You're a guest of" followed by the purchaser's name and the event. When the ticket's email address is the order's email address, it reads "Your ticket to" followed by the event instead. After saving, the guest sees "Thanks," followed by their name and "Your details are saved." They can return to the same link to make changes until they close.

When a required field is empty or an email address isn't valid, nothing is saved. The form comes back with what the guest typed, "Please complete every required field." at the top, and a message beside each field, such as "Enter your last name." or "Enter a valid email address."

The card step, when the event offers bidder sign-up

On an event that offers bidder sign-up, the guest's form shows two steps, Your details and Card (optional). First Name, Last Name and Email Address are required, and the button reads Save and continue. Saving opens a page headed "Faster check-in", where the guest sees one of the following.

  • The card box. "Save a card now for a faster checkout at the event." with "This is optional. You will not be charged now." Below it are a Mobile phone field and a checkbox to agree to text messages. For an auction where people bid on items, the checkbox mentions outbid alerts and closing reminders. For an auction with no bidding, it mentions messages about the event, such as a link to pay or a reminder. Save and add a card opens Stripe's page to save the card. Save without a card ends on "You're all set for now".
  • Your card. A guest whose account already has a card for the auction sees "Your card" with the card's brand and last four digits, and Save and Use a different card.
  • Check your email. A guest whose email address already has a Soapbox user account, and who did not arrive from the request emailed to that address, sees "We emailed a link to" followed by the address and "The link works once, for 15 minutes." Opening that link returns them to the card step. Send a new link sends another, and Continue without a card skips the card.
  • Already signed up with this email. Another guest with the same email address is already signed up for the auction. The page names them and offers Use a different email and View my ticket. See What to do when two guests share an email address.

After the guest saves a card on Stripe's page, they return to "Card saved" with the card's brand and last four digits, and View my ticket and Use a different card. A guest who leaves Stripe's page without saving returns to the card step with "No card was saved".

Note: The guest is never shown a bidder number. Mobile phone is marked optional unless the auction's Require Mobile Phone setting is Yes. When your Stripe webhook isn't ready, the page shows the mobile phone field and a Save button with no card box.

A guest who skipped the card can add one later from the same link. Their saved ticket shows "Faster check-in" with an Add a card button until they have a card on file.

A guest who arrives from a card reminder's Add a card button goes straight to the "Faster check-in" page, before or after changes close.

After changes close

On an event that offers bidder sign-up, a guest's own link still opens after changes close, until the auction ends. The page is headed My Ticket and reads "Changes closed on" followed by the date and "Contact" followed by your organization's name "to make a change." It shows the ticket's details without a form, with "You can still add a card for" the auction "until the auction ends." and an Add a card button.

When a change is refused

  • "This guest was invited a few minutes ago. Try again later." The guest was emailed within the resend cooldown.
  • "Add an email to invite this guest." Invite needs an email address.
  • A field's name followed by "is required. Choose an answer before saving." An answer already given to a required field can't be cleared from this page. Choose a different answer instead. With several fields, the message reads "are required. Choose an answer for each before saving."
  • "Enter a valid email address for" followed by a question's name. A question that asks for an email address holds something else.
  • "This ticket's details could not be saved just now. Reload the page and try again." The page could not save one of the fields it showed. Nothing was saved. Reloading and saving again usually works.
  • "This guest has saved their own details." The guest saved after the purchaser opened the page.
  • "This guest's details can't be changed" or "This guest can't be replaced", followed by a reason. The guest is checked in, or is a bidder with bids, a pledge or a card on file. Make the change in the administrator instead.
  • "Changes closed on" followed by a date. The Ticket Edit Deadline has passed, or the event has started.
  • "A mobile phone number is required to bid on this auction." The auction's Require Mobile Phone setting is Yes and the guest left the field empty on the card step.
  • "Enter a mobile phone number to receive SMS notifications." The guest agreed to text messages without giving a number.
  • "The card page could not be opened. Please try again." Stripe's page could not be started. Trying again usually works.
  • "This link is no longer valid." The link was replaced or has closed. See Why does a guest see "This link is no longer valid"?
