What purchasers and guests see when they open a guest details link

updated

When you send a guest details request, each recipient gets an email with a personal link. This article describes what they see, so you can answer their questions.

The purchaser's order

A purchaser's link opens My Order for that event without signing in. A notice reads "Name each guest by" followed by the date changes close. Each ticket is a row with fields for First Name, Last Name and Email Address, a details status, and these actions:

  • Save stores the name and email entered for that ticket.
  • Copy Link copies the guest's own link, so the purchaser can send it by text or another way.
  • Invite emails the guest their link. The ticket then shows "Invited" with the date.
  • Replace guest clears the ticket so a different guest can be named. The earlier guest's link stops working.
  • Assign to followed by the purchaser's name puts the purchaser's own name and email on an unnamed ticket.
  • Details opens the rest of the ticket's information, and Edit details lets the purchaser fill it in for the guest.

Invite all named guests, above the table, emails every guest who has a first name, last name and email address.

Once a guest saves their own details, the purchaser sees that ticket's name and status only, with the message "This guest has saved their own details."

The guest's ticket

A guest's link opens a form for their own ticket, without signing in. It shows the fields and questions the event collects, with what the purchaser already entered. After saving, the guest sees "Thanks," followed by their name and "Your details are saved." They can return to the same link to make changes until they close.

When a change is refused

  • "This guest was invited a few minutes ago. Try again later." The guest was emailed within the resend cooldown.
  • "Add an email to invite this guest." Invite needs an email address.
  • "This guest's details can't be changed" or "This guest can't be replaced", followed by a reason. The guest is checked in, or is a bidder with bids, a pledge or a card on file. Make the change in the administrator instead.
  • "Changes closed on" followed by a date. The Ticket Edit Deadline has passed, or the event has started.
  • "This link is no longer valid." The link was replaced or has closed. See Why does a guest see "This link is no longer valid"?
