Understanding the Checkouts tab

With the Auctions app, you can settle every bidder's balance from one place: the Checkouts tab. Each bidder who owes money for the auction has one checkout, which gathers everything they owe, what they have paid, and every message and change along the way.

To open it:

  1. Open the Auctions Manager.
  2. Click the title of the auction you want to manage.
  3. Click the Checkouts tab.

The Checkouts tab is the last tab on the auction. Its panel is headed Checkout & Settlement.

Who appears in the list

You don't create checkouts. The list has one row for every bidder who owes something for the auction:

  • Items they won with a winning bid
  • Fixed price items they bought
  • Paddle raise pledges they made

Donations are not included. Rows appear automatically, and a purchase a bidder makes after their checkout already exists is added to that checkout.

Note: On a large auction, the tab updates up to 50 bidders each time it loads. Reload until the Bidder checkouts count stops changing — and before you charge a batch, reload until the figures stop changing.

Opening a bidder's checkout, or charging one bidder, always brings that bidder up to date first.

The summary tiles

The tiles across the top of the tab total up the whole auction:

Tile What it shows
Bidder checkouts How many bidders are listed.
Committed What bidders owe in total, including sales tax. Processing fees are not included.
Collected · +$X in fees What bidders have paid. Processing fees are shown separately in the label.
Outstanding · N unpaid What is still owed, and how many bidders still owe something.
No card on file How many bidders still owe something and have no card saved.

Outstanding and No card on file are highlighted whenever they are above zero.

The list

Column What it shows
Bidder # The bidder's number.
Bidder The bidder's name. Click it to open their checkout.
Card on file The card brand, last four digits and expiration date, marked expired if it has expired, or — none —.
Committed What the bidder owes, including sales tax.
Paid What the bidder has paid, not counting processing fees.
Written Off Any amount you have written off.
Balance What is still owed. A negative amount means the bidder is owed money.
Status Where the checkout stands. See below.
Actions Open opens the bidder's checkout.

The four statuses

Status Meaning
Unpaid The bidder owes a balance and has paid nothing yet.
Partially paid The bidder has paid part of their balance.
Paid Nothing is owed.
Refund due The bidder has paid more than they now owe, for example after an item was removed.

A balance that was written off in full, with nothing paid, reads Paid with "Written off" underneath.

Finding a bidder

  • Type a bidder's name or number in Filter. The list narrows as you type.
  • Click a status button (All, Unpaid, Partially paid, Paid or Refund due) to show only that status. Each button shows how many bidders match.
  • Click Reset to clear the filter and return to All.
  • Click a column heading to sort by it. Click it again to reverse the order.
  • Use Display # to choose how many rows to show per page. Your browser remembers the choice. Move between pages with Start, Prev, Next and End.

If nothing matches, the list reads "No checkouts match this filter."

Opening a bidder's checkout

Click the bidder's name or Open. Their checkout opens in a pane beside the list. Click Close, or press Esc, to return to the list.

You can also get here from the Fulfillments tab: the fulfillment pane's Open checkout link opens the bidder's checkout on this tab.

The top of the pane shows the bidder's Phone, Email and whether they bid as Anonymous. Five figures follow:

Figure What it shows
Committed What the bidder owes, including sales tax.
Paid What they have paid, with any processing fees noted beside it.
Written Off Any amount written off.
Balance Remaining What is still owed. It reads Refund due when the bidder is owed money.
Deductible Total The tax-deductible part of their purchases.

The rest of the pane has five sections, in this order.

Take a payment

Charge a card, record cash or a check, or write off a balance. See Taking a payment from a bidder.

Checkout link

Send the bidder a secure link to pay for themselves, by email or text, or show it as a QR code. See Sending a bidder a checkout link.

Line items

What the bidder owes, one row per purchase:

Column What it shows
Item The item or pledge. An adjusted line shows its original amount and the reason.
Type Auction win, Fixed price or Paddle raise.
FMV The item's fair market value.
Deductible The tax-deductible amount.
Amount What the bidder owes for this line.
Actions Adjust and Remove.

Below the lines are the Items subtotal, the Sales tax (with the rate and taxable amount, or "No taxable items"), and the Total owed. Processing fees are not listed as line items. Each one appears on the card payment that carried it.

Payments and Adjustments

Every payment, refund and write-off, newest first, with Method, Status, Amount, Reference, Recorded by, Date and Actions. Recorded by shows the staff member's name, "Bidder (self-checkout)" when the bidder paid through their own checkout, or "System". Before anything is paid, it reads "No payments yet. Take a payment or send a checkout link."

Communications & activity

A record of what has happened on this checkout: links sent, failed, revoked or replaced, receipts, line adjustments and removals (with the amounts before and after and the reason), and issues bidders reported and how they were resolved.

Column What it shows
Event What happened.
Channel Email, Text or System.
Recipient Who a message went to.
Status Whether it succeeded.
Summary A short description.
Actor The staff member who did it, or "System".
When The date and time.

Two kinds of entry are hidden by default. Tick them under Also show to include them:

  • Payment events — payments, declines, refunds and write-offs, which are already listed under Payments and Adjustments.
  • Statement opened — each time the bidder opened their checkout.

The number beside each shows how many are hidden. When nothing else has happened, the section reads "No activity yet. Messages, link sends, and changes appear here."

The toolbar

Three buttons sit above the tiles:

  • Send Reminders to All Unpaid — after a review step, emails each bidder who still owes money their checkout link and current balance.
  • Charge cards on file… — charges many bidders' saved cards at once, after a review step. See Charging cards on file in a batch.
  • Export — downloads a CSV file of the checkouts that match your current filter and search, across all pages.

When a bidder reports a problem with their checkout, an Issues reported by bidders section appears above the list until the issue is marked as resolved.
