Choosing which fixed price items are tracked for pickup

With the Auctions app, you can choose which fixed price items your team hands over in person and records on the Fulfillments tab. Track the things guests take home, such as a gift basket or a bottle of wine. Leave off the things nobody collects, such as drink tickets or raffle entries, so they don't sit on the Fulfillments tab waiting forever.

Silent and live bidding items are always tracked. This setting only matters for Fixed Price items.

To choose whether a fixed price item is tracked:

  1. Open the Auctions Manager.
  2. Click the title of the auction.
  3. Click the Items tab.
  4. Click the edit icon beside the item.
  5. Make sure Item Type is Fixed Price. The Track Fulfillment field appears only for fixed price items, just below Requires Shipping.
  6. For Track Fulfillment, select Yes if guests collect the item and you want your team to record who took it. Select No if there is nothing to hand over.
  7. Click Save.

What tracking does

When a guest buys a tracked item, it is listed on the auction's Fulfillments tab as awaiting pickup. Your team marks it picked up, and records who collected it, when the guest takes it home. An untracked item still goes on the buyer's checkout and is paid for as normal. It just isn't listed on the Fulfillments tab, which reminds you with the note "Items not tracked for fulfillment aren't listed."

Tracking also decides who sees your pickup details. The auction's Collection Instructions, which tell guests where and when to collect, are shown only to guests who have a tracked item to collect in person. See Configuring checkout and settlement settings.

Items that ship

If Requires Shipping is Yes, Track Fulfillment is set to Yes and locked. An item you post always appears on the Fulfillments tab, as awaiting shipment, so your team can record that it was shipped. To change Track Fulfillment, set Requires Shipping to No first.

Items created before this setting existed

Important: When Track Fulfillment was introduced, every existing fixed price item was set to No, unless it required shipping. If guests collect any of your existing fixed price items in person, open each one and set Track Fulfillment to Yes.

Changing the setting later

The Fulfillments tab always follows each item's current setting. If you switch an item to Yes after people have bought it, those purchases appear on the Fulfillments tab straight away. If you switch it to No, its purchases disappear from the tab, including ones already marked picked up. They come back, with what was recorded, if you switch it to Yes again.

Importing and copying items

  • When you import items from a CSV file, use the track_fulfillment column with Yes or No. A fixed price row with the column blank or missing is imported as No. See Importing auction items from a CSV file.
  • When you copy items from a previous auction, each copy keeps the original item's Track Fulfillment setting.
