Customizing the guest details request emails

updated

With the Events app, you can customize the two request emails, the one sent to ticket holders and the one sent to purchasers, and the reminder that follows each. You can set site-wide defaults in the Configuration and override them for a single event.

All four emails accept the Confirmation Email variables, plus {purchaser} for the name of the person who placed the order and {deadline} for the date changes close. Each email always carries the recipient's personal link.

Customizing the emails for one event

  1. Open the Events Manager.
  2. Click the title of the event.
  3. Click the Messages tab.
  4. In the Guest Details Request Email section, for Email Subject and Email Text, enter the subject and text sent to ticket holders.
  5. In the Guest Details Reminder Email section, for Email Subject and Email Text, enter the subject and text of the reminder sent to ticket holders.
  6. In the Who's Coming Request Email section, for Email Subject and Email Text, enter the subject and text sent to purchasers.
  7. In the Who's Coming Reminder Email section, for Email Subject and Email Text, enter the subject and text of the reminder sent to purchasers.
  8. Click Save.

Leave a field blank to use the default from the Configuration.

What the email to ticket holders adds on its own

When an event has no Email Text of its own, the email to ticket holders changes in two cases:

  • A purchaser's own ticket. When the ticket's email address is the order's email address, the email opens "Your ticket to" followed by the event's title and date and "needs your details." It no longer tells the purchaser that they have a ticket for themselves. This applies while the default text still opens with its standard sentence.
  • An event that offers bidder sign-up. The email gains the line "You can also add a card for" followed by the auction's name and "to make checkout faster at the event."

Note: An event with its own Email Text is sent exactly as written, with neither change. Add your own sentence about the card if you want one.

The reminder to ticket holders gains the same line about adding a card, unless the event has its own reminder Email Text. It reads the same for a purchaser's own ticket.

A guest whose details are complete and who has no card gets a separate card reminder, headed "Faster check-in". Its wording is fixed and can't be customized. See Sending a reminder to ticket holders and purchasers for an Event.

Setting the defaults and the resend cooldown

  1. Open the Events Configuration view.
  2. Click the Messages tab.
  3. In the Guest Details Requests section, for Resend Cooldown (Minutes), enter the minimum number of minutes between requests to the same person. The default is 30. Enter 0 to turn the cooldown off.
  4. For Default Guest Details Request Email Subject and Default Guest Details Request Email Text, enter the defaults for the email to ticket holders.
  5. For Default Who's Coming Request Email Subject and Default Who's Coming Request Email Text, enter the defaults for the email to purchasers.
  6. For Default Guest Details Reminder Email Subject and Default Guest Details Reminder Email Text, enter the defaults for the reminder to ticket holders.
  7. For Default Who's Coming Reminder Email Subject and Default Who's Coming Reminder Email Text, enter the defaults for the reminder to purchasers.
  8. Click Save.

Note: The cooldown also applies when a purchaser invites a guest from their order. Someone emailed within the cooldown is left out of the next request unless you choose to include them.
