Sending a reminder to ticket holders and purchasers for an Event

updated

With the Events app, you can send a reminder to ticket holders and purchasers whose tickets still need details. You don't choose between a request and a reminder: each person gets the email their own ticket or order calls for, so anyone emailed before gets the reminder, with its own wording. When the event offers bidder sign-up, guests who completed their details but have not added a card get a card email.

Note: Reminders are sent with the same buttons as requests, so Allow Guest Details Requests must be set to Yes for the event. See Turning on guest details requests for an Event.

Sending a reminder to ticket holders

  1. Open the Events Manager.
  2. Click the title of the event.
  3. Click the Tickets tab.
  4. Check the box beside each ticket you want to remind. The line above the list shows what is outstanding, such as "1 missing a name · 10 missing required info · 5 need a card". Click a count to list those tickets.
  5. Click Request Details.
  6. Review the list. Each email has its own group, such as Details reminder, with the number of people who get it and the email's subject. Not included shows who is left out and why.
  7. Click the send button. It shows how many emails will be sent, such as Send 5 emails.

Sending a reminder to purchasers

  1. Open the Events Manager.
  2. Click the title of the event.
  3. Click the Reservations tab.
  4. Check the box beside each order you want to remind.
  5. Click Request Guest Details.
  6. Review the list. Purchasers emailed before are listed under Who's coming? reminder, and any others under Who's coming? request.
  7. Click the send button, such as Send 3 emails.

Which email each person gets

On the Tickets tab:

  • Details request: a ticket missing a name or required info that has not been emailed before. It links to the guest's own ticket.
  • Details reminder: a ticket missing a name or required info that has been emailed before. Unless you have customized it, its subject starts "Reminder: complete your details for".
  • Card email: on an event that offers bidder sign-up, a ticket whose details are complete and that still needs a card, including a ticket with no bidder yet. It is headed "Faster check-in", reads "Your details for" the event "are complete. Add a card for" the auction "to make checkout faster at the event.", and its Add a card button opens the card step. It goes each time you send, not only the first time.

A guest who needs both details and a card gets one email: the details request or reminder, which mentions the card unless the event has its own text.

On the Reservations tab, a purchaser whose order still has incomplete tickets gets the Who's coming? request the first time and the Who's coming? reminder after that. Each links to their order.

When one send includes more than one kind of email, the review lists each with its subject and how many people get it.

Why a ticket is not included

  • Details and card complete: the ticket has everything the event requires and its bidder has a card.
  • Needs review: the ticket's details are complete, but its bidder needs your attention before a card can be added. See Offering bidder sign-up and a card to guests for an Event for each reason.
  • Details complete: the ticket has everything the event requires, and the event has no auction to add a card for.
  • Card not requested: the ticket needs a card, but the event can't send card emails. The review says why, once, above the lists.
  • Changes closed on followed by the date: changes have closed for the event and the ticket is still missing details.
  • No email or Canceled.
  • Requested just now, or a number of minutes ago: the person was emailed within the resend cooldown. Check send anyway beside the name to include them. They move into their email's group, and the send button counts them.

When the review says a card can't be requested

When guests need a card and the event can't send card emails, the review names the cause above its lists:

  • "The auction has ended, so a card can't be requested." The event's auction is past its end date.
  • "This site isn't set up to take cards through Stripe." Cards are saved through Stripe, and your site does not take payments through Stripe.
  • "This event doesn't offer guests a card step (Offer Bidder Sign-Up to Guests)." On the event's Edit tab, in the Self-Service section, set Offer Bidder Sign-Up to Guests to Yes. See Offering bidder sign-up and a card to guests for an Event.

Those guests are listed under Not included as Card not requested. Details requests and reminders still go to anyone missing details.

After changes close

Once changes have closed for the event, details requests and reminders can no longer be sent, from either tab. On an event that offers bidder sign-up, Request Details on the Tickets tab still sends card emails until the auction ends. Tickets still missing details are listed under Not included as Changes closed on and the date. When no one you chose needs a card, the review says Changes to this event closed on and the date.

A card email sent after changes close uses the guest's existing link, so the link in an email you sent earlier keeps working.

Customizing the reminders

Each event has its own subject and text for the reminder to ticket holders and the reminder to purchasers, with site-wide defaults behind them. See Customizing the guest details request emails. The card email's wording is fixed.
