With the Events app, you can create groups, such as tables, on an event's Assignments tab and give each one a number of spots for ticket holders. The tab uses the words group and spot whatever you use them for: a table and its seats, a bus and its seats, or a team and its members.
To open the Assignments tab:
- Open the Events Manager.
- Click the title of the event.
- Click the Assignments tab.
The tab has two sections. Overview lists the event's groups and counts the groups and assigned tickets. Assignments is where you build groups and place tickets in them.
Until the event has a group, the Overview section reads No groups have been created yet and the Assignments section reads Add your first group to start assigning tickets.
Creating several groups at once
- In the Overview section, click Create groups.
- For Number of groups, enter how many groups to create.
- For Spots per group, enter how many spots each group has.
- Click Create Groups.
- Click Save in the Assignments section.
The new groups are named Group 1, Group 2 and so on, and are added after any groups the event already has. Both values must be whole numbers of at least 1. Otherwise you see Number of groups must be at least 1., Spots per group must be at least 1. or Number should be a whole number.
Adding one group
- In the Assignments section, click + Add Group.
- For Group name, keep the suggested name or enter your own, such as the table's name.
- For Spots for group, enter how many spots the group has.
- Click Create Group.
- Click Save in the Assignments section.
A name is required and no two groups can share one. Otherwise you see Group name is required. or Group names must be unique. Names that differ only in capital letters count as the same name.
Renaming a group
- Click the group's name at the top of its card. You can also click the menu button beside the name and click Rename group.
- Type the new name.
- Click Save beside the name.
- Click Save in the Assignments section.
Click Cancel beside the name to keep the old one. If another group already has the name, you see Group names must be unique.
Changing how many spots a group has
- Click the menu button beside the group's name and click Edit capacity.
- For Number of spots, enter the new number.
- Click Save.
- Click Save in the Assignments section.
Adding spots adds empty spots to the end of the group. Reducing spots removes the highest-numbered spots, and the tickets in the remaining spots stay where they are. You cannot remove a spot that holds a ticket. If spot 8 holds a ticket, for example, you see Spot 8 holds a ticket. Move or unassign it before reducing capacity below 8.
Reordering groups
Drag a group by the top of its card to a new place among the other groups. You can also drag the handle beside a group's number in the Overview section. Both sections follow the same order.
Each group also has a Group # that never changes when you reorder or rename it. In the Overview section, the handle is dimmed while the list is sorted or searched, and it reads Clear the sort to reorder or Clear the search to reorder. Click it to clear the sort or search.
Deleting a group
- If the group holds tickets, click the menu button beside its name, click Unassign all tickets, and click Yes. The tickets return to the unassigned list.
- Click the menu button again and click Delete group.
- Click Yes.
- Click Save in the Assignments section.
A group that still holds tickets cannot be deleted. You see Please unassign all tickets before deleting this group.
Reviewing groups in the Overview section
The Overview section lists each group with these columns: Group #, Group Name, Capacity, Spots Filled and Tickets. The Tickets column shows the initials of each ticket holder in the group. Point to the initials to see the ticket holder's name and ticket type.
Click a column heading to sort by it, or type in the search box to find a group by its name or by a ticket holder's name. To download the list, click Actions and then Export Group Overview.
Important: Changes on the Assignments tab are not saved as you make them. While the bar reading You have unsaved ticket assignment changes. is showing, click Save in the Assignments section or Save Now in the bar to keep your work, or Discard to go back to what was last saved.
