With the Events app, you can check guests in from an event's Tickets tab in the administrator, so a check-in desk can run on a laptop. A check-in made here is the same record the Soapbox Engage Onsite app uses, so the two always agree.
Checking a guest in
- Open the Events Manager.
- Click the title of the event.
- Click the Tickets tab.
- In the search box, type the guest's name, email, organization or id.
- In the guest's row, click Check In in the Check-In column.
The check-in is saved at once, so there is nothing else to click. A message above the list reads Checked in successfully. and the row now shows Checked In, the date and time of the check-in, and an Undo button.
The Check-In column sits just before Actions. Click its heading to sort the list by check-in time.
Note: The time is shown in your site's time zone. The row does not show who checked the guest in.
Seeing how many guests have arrived
Beside the ticket count above the list, a line such as 42 of 180 checked in shows how many of the event's tickets are checked in. It counts every ticket that has not been canceled, whatever the list is searched or filtered to.
Undoing a check-in
- Find the guest's row on the Tickets tab.
- Click Undo.
A message above the list reads Check-in reversed. and the row offers Check In again. You can check the guest back in at any time.
Important: A check-in can be undone only until the event ends. After that, clicking Undo changes nothing and the message reads Reversal is only allowed while the event is running.
Tickets with no Check In button
The Check-In column shows a dash in place of the button for:
- A canceled ticket. Canceled tickets are marked Canceled and are left out of the list unless you set the Attending? filter to No (Canceled) or All Statuses.
- A ticket that has no Soapbox Ticket Id.
A ticket with no guest name can still be checked in.
Filtering by check-in
- Click the filter button beside the search box.
- For Check-in, select Checked In or Not Checked In.
- Click Save.
To see every ticket again, set Check-in back to All Statuses and click Save.
When you click Export, the file includes a Checked In At column. It is blank for a ticket that is not checked in or whose check-in was undone.
Working alongside the Onsite app
Guests checked in with the Onsite app show as Checked In on the Tickets tab, and guests checked in on the Tickets tab show as arrived in the Onsite app. You can undo a check-in in either place, wherever it was made.
The list does not update by itself while it is open. It is read again each time you check a guest in, undo a check-in, search, filter or sort. If someone else checked the guest in a moment before you did, the message reads Already checked in. and the row shows the check-in that stands.
If the message reads The check-in could not be saved. Reload the page and try again., reload the page and check the guest's row before trying again.
For an event linked to an auction
Checking a guest in creates a bidder only when the event's Auto-Enroll Attendees as Bidders setting is At check-in. With any other choice, a check-in does not create a bidder.
When it is At check-in:
- The message adds the new bidder number, for example Checked in successfully. Bidder 104 was created. The number then appears in the row's Bidder column.
- A guest who is already a bidder in the auction keeps that bidder. No second bidder is created and the message does not mention one.
- Undoing the check-in removes the bidder that the check-in created, and the message adds The bidder created at check-in was removed. A bidder with auction activity, such as bids, purchases or paddle raise commitments, is kept. So is a bidder that was created any other way.
Note: A ticket with no email address is checked in, but no bidder is created for it and no message says so. Check the row's Bidder column, and create the bidder yourself if you need one. See Creating and updating bidders from an Event's Tickets tab.
