Viewing and exporting winning bids

updated

With the Auctions app, you can see who holds each silent and live bidding item and for how much, and export that list to a CSV file. The Winning Bids tab is read-only. Payments are taken on the auction's Checkouts tab, and items are handed over on the Fulfillments tab.

To open it:

  1. Open the Auctions Manager.
  2. Click the title of the auction you want to manage.
  3. Click the Winning Bids tab.

What the tab shows

The tab lists every silent and live bidding item that has received a bid, with its highest bid and the bidder who placed it. The subtitle reminds you of what is not here: "Who holds each bid item and for how much. Fixed-price purchases and paddle raise pledges are on the Checkouts tab."

A row of figures sits above the list. Once bidding has finished, it shows items won, the total in winning bids, and the number of winning bidders. While any item still has a leading bid, it shows items with a leading bid, the total in leading bids, and how many items are won so far. If any item closed below its reserve price, a reserve not met count is added.

Statuses

Status Meaning
Won The item has closed and its highest bid met any reserve price. An item closes when you end it, when the auction's Status is set to Closed, or when the auction's end time passes in the auction's time zone. Won items are added to the winner's checkout.
Leading Bidding on the item is still open, and this is the highest bid so far.
Reserve not met The item closed, but its highest bid was below the reserve price. Nobody wins it, and it is not added to anyone's checkout. The reserve price is shown under the amount.

What the list shows

Column What it shows
Bidder # The bidder's number
Bidder The bidder's name
Item The item name, with the lot number and whether it is a Silent or Live item shown beneath
Amount The highest bid on the item
Status Won, Leading or Reserve not met

Click a column heading to sort by that column.

Finding bids

The list opens on Won. Use the status buttons to switch to Leading, Reserve not met or All. Each button shows how many rows it holds.

To search, type in the Filter box. It matches the bidder's name, the bidder number, the item name and the lot number. Click Reset to clear the search and return to Won.

Exporting winning bids

The export contains exactly the rows the tab is showing: the current status button, search and sort, across all pages.

To export winning bids:

  1. On the Winning Bids tab, choose the status button, search and sort you want. To export every row, click All and clear the Filter box.
  2. Click Export.
  3. A CSV file is downloaded to your device, named "Winning Bids - " followed by the auction name.

The exported file includes the following columns:

Column What it contains
Item ID The item's ID
Item Name The item's name
Status Won, Leading or Reserve not met
Fulfilled YES once the item has been picked up or shipped, otherwise NO. Blank for items nobody has won.
Fair Market Value The item's fair market value
Sold Price The highest bid
Shipping Costs The item's Shipping Cost, or 0 if none is set
Total Amount Sold Price plus Shipping Costs
Paid Status Where the winner's checkout stands: Paid, Partially paid, Unpaid or Refund due. Blank for items nobody has won.
Winning Bidder ID The bidder's ID
Winning Bidder Number The bidder's number
Winner First Name The bidder's first name
Winner Last Name The bidder's last name
Winner Email The bidder's email address
Winner Mobile Number The bidder's mobile number
Winner Shipping Address The bidder's shipping street address
Winner Shipping City The bidder's shipping city
Winner Shipping State The bidder's shipping state
Winner Shipping Country The bidder's shipping country
Winner Shipping Postal Code The bidder's shipping postal code

Note: Paid Status describes the winner's whole checkout, not the single item. A bidder with several wins shows the same Paid Status on every row. To see exactly what a bidder owes and has paid, use the Checkouts tab.

Note: Shipping Costs and Total Amount are for your records. An item's shipping cost is not added to the winner's checkout, so the bidder is not charged for it.
