Creating and updating bidders from an Event's Tickets tab

With the Events and Auctions apps, you can turn an event's ticket holders into bidders without adding them one at a time. On the event's Tickets tab, you select tickets and create a bidder for each, or bring existing bidders up to date after a guest's name or email changes.

Important: These actions appear only when the event is linked to an auction. See Associating an Auction with an Event.

Creating bidders

  1. Open the Events Manager.
  2. Click the title of the event.
  3. Click the Tickets tab.
  4. Select the checkbox for each ticket holder you want to make a bidder. To select every ticket on the page, select the checkbox in the column heading.
  5. Click Create Bidders.
  6. Review the confirmation. It lists each bidder to be created with its bidder number, name and email, in the order shown.
  7. Click the button at the bottom of the confirmation, for example Create 3 bidders.

A message above the list reports how many bidders were created and their numbers, for example Created 3 bidders, #104–#106. Each new bidder's number then appears in the ticket's Bidder column.

Note: New bidders have no user account until you create one or send them a card request. A bidder created from a ticket with no email can't be sent a card request until an email is added.

Tickets that are skipped

The confirmation lists any selected ticket that won't get a bidder under Skipped, with the reason:

Reason What it means
Already a bidder The ticket holder already has a bidder in this auction
Canceled The ticket has been canceled
Missing a first or last name Add the name to the ticket, then try again
Auction is closed Bidders can't be created once the auction is closed

Updating bidders

When a ticket's name or email is changed after its bidder was created, the ticket's Bidder column shows Details differ. To copy the ticket's first name, last name and email to the bidder:

  1. On the event's Tickets tab, select the checkbox for each ticket marked Details differ.
  2. Click Update Bidders.
  3. Review the confirmation. For each bidder it shows the details it has now and what they will become.
  4. Click the button at the bottom of the confirmation, for example Update 2 bidders.

Bidders that are skipped

A bidder is updated only while it is still a placeholder for the guest. The confirmation lists the rest under Skipped, with the reason:

Reason What it means
No bidder The ticket holder isn't a bidder. Use Create Bidders
Details already match There is nothing to update
Has an account — change it on the Bidders tab The bidder is linked to a user account, which supplies its name and email
Has a saved card The bidder has a payment card on file
Was sent a card request The bidder has been sent a request to add a card
Has auction activity The bidder has bids, purchases or paddle raise commitments
The email address isn't valid Correct the email on the ticket, then try again
Auction is closed Bidders can't be changed once the auction is closed

Note: If a message ends with The rest were not attempted — reload the page and try them again, some of the selected tickets were not processed. Reload the page, select them again, and repeat the action.
