What to do when two guests share an email address

updated

With the Auctions and Events apps, each bidder in an auction needs an email address of their own. An email address has one user account, and an account is one bidder in an auction. When two guests are registered with the same email address, such as a couple, only one of them can be a bidder until you give the other their own email address.

Decide which case you have

The two guests are What to do
Two people who will each bid or pledge Give one of them their own email address, on their ticket or on their bidder.
Two people attending together, where only one will bid or pledge Nothing. The guest without a bidder is still a ticket holder and can be checked in.
The same person, entered twice Merge the two bidders. See Merging duplicate bidders.

To change the email address on a ticket, see Editing attendee information for a Reservation in the Events app. What that does to the guest's bidder is explained in What happens to a bidder when you edit a guest's ticket.

Where you will see it

On the event's Tickets tab

A ticket whose email address is already another bidder's reads Needs Review, with the reason "Shares an email with Maria Lopez, bidder #12".

When you create a user account for a bidder

Create user from bidder stops with, for example, "maria@example.org is already bidder #12, Maria Lopez. Give this guest their own email, or merge the two bidders if this is the same person." Nothing is created.

When you send card requests

A bidder whose email address is another bidder's is listed under Not included with the reason "Shares an email with bidder #12 — give this bidder their own email, or merge the two".

When you check guests in

When the event creates bidders at check-in, the first of the two guests to be checked in gets the bidder. The second is checked in without one.

  • On the event's Tickets tab, the message reads, for example, "Checked in successfully. No bidder was created: same email as bidder #12, Maria Lopez."
  • In Soapbox Engage Onsite, the confirmation reads "No bidder: same email as bidder #12, Maria Lopez".

When you save a card in Soapbox Engage Onsite

  • At check-in, a card save for the guest without a bidder is refused with "This guest's email is already another guest's bidder. In Administrator, give this guest their own email. Then save the card again."
  • From Manage Bidders, a card save can be refused with, for example, "Maria Lopez and Sam Lopez share this email. In Administrator, give one their own email, or merge them if they are one person. Then save the card again."

Give the guest their own email address or merge the two bidders, then save the card again.

What the guest sees

When an event offers bidder sign-up to guests, the second guest to reach the card step sees "Already signed up with this email", with the first guest's name: "Maria is already signed up for Spring Gala with this email. To bid on your own, use a different email."

  • Use a different email takes them back to enter an email address of their own.
  • View my ticket leaves things as they are.

Note: A guest who does not get a bidder is not told so by email. If both guests expect to bid or pledge, contact them for a second email address before the event.
