Sending a reminder to ticket holders and purchasers for an Event

With the Events app, you can send a reminder to ticket holders and purchasers whose tickets still need details. A reminder has its own wording, so a second email does not read like the first. When the event offers bidder sign-up, a reminder also reaches guests who completed their details but have not added a card.

Note: Reminders are sent with the same buttons as requests, so Allow Guest Details Requests must be set to Yes for the event. See Turning on guest details requests for an Event.

Sending a reminder to ticket holders

  1. Open the Events Manager.
  2. Click the title of the event.
  3. Click the Tickets tab.
  4. Check the box beside each ticket you want to remind. The line above the list shows what is outstanding, such as "1 missing a name · 10 missing required info · 5 need a card". Click a count to list those tickets.
  5. Click Request Details.
  6. Under Email to send, select Reminder.
  7. Review the list. Will be sent shows who gets an email. Not included shows who is left out and why.
  8. Click Send reminders. The button shows how many will be sent.

Sending a reminder to purchasers

  1. Open the Events Manager.
  2. Click the title of the event.
  3. Click the Reservations tab.
  4. Check the box beside each order you want to remind.
  5. Click Request Guest Details.
  6. Under Email to send, select Reminder.
  7. Review the list, then click Send reminders.

When Reminder is already selected

The review opens with Reminder selected when everyone it would email has been emailed before, including anyone still inside the resend cooldown. On the Tickets tab it also opens on Reminder when a request would go to no one and a reminder would, which happens when the tickets you chose are complete and only need a card. Otherwise it opens on Request. You can change the selection either way before you send.

Who a reminder reaches

  • A ticket holder whose ticket is missing a name or required info gets the reminder to ticket holders, with a link to their own ticket.
  • A guest whose details are complete and who has no card, on an event that offers bidder sign-up, gets a card reminder. It is headed "Faster check-in", reads "Your details for" the event "are complete. Add a card for" the auction "to make checkout faster at the event.", and its Add a card button opens the card step. A request leaves these guests out as Details complete.
  • A guest who needs both gets one email: the reminder to ticket holders, which mentions the card unless the event has its own reminder text.
  • A purchaser whose order still has incomplete tickets gets the reminder to purchasers, with a link to their order.

When one send includes both kinds of email to ticket holders, the review shows the subject of each and how many people get it.

Why a ticket is not included

A reminder leaves a ticket out for the same reasons as a request: No email, Canceled, or emailed within the resend cooldown, which you can override by checking the box beside the name. It adds three reasons of its own:

  • Details and card complete: the ticket has everything the event requires and its bidder has a card.
  • Needs review: the ticket's details are complete, but its bidder needs your attention before a card can be added. See Offering bidder sign-up and a card to guests for an Event for each reason.
  • Changes closed on followed by the date: changes have closed for the event and the ticket is still missing details.

After changes close

Once changes have closed for the event, requests and reminders for details can no longer be sent, from either tab. On an event that offers bidder sign-up, you can still send a card reminder from the Tickets tab until the auction ends. The review opens on Reminder and lists only the guests who need a card.

A card reminder sent after changes close uses the guest's existing link, so the link in an email you sent earlier keeps working.

Customizing the reminders

Each event has its own subject and text for the reminder to ticket holders and the reminder to purchasers, with site-wide defaults behind them. See Customizing the guest details request emails. The card reminder's wording is fixed.
