With the Events app, you can see every ticket for an event in one list on the event's Tickets tab. From there you can search and filter tickets, check guests in, edit a ticket holder's information, and export the list.
To open the Tickets tab:
- Open the Events Manager.
- Click the title of the event.
- Click the Tickets tab.
What the list shows
Each row is one ticket, with these columns:
- First Name, Last Name and Email of the ticket holder.
- Ticket: the ticket type and the Soapbox Ticket Id.
- Required Info: whether the ticket has everything the event requires. It reads Missing Name, Missing Info or Complete. This column appears when guest details requests are turned on for the event.
- Purchaser: the name and email of the person who placed the order, with a link to the order.
- Assignment: the ticket's group and spot from the event's Assignments tab, shown as the group's name with Spot and the spot number. It shows a dash for a ticket that isn't assigned. This column appears once the event has a saved group. See Assigning tickets to tables or groups for an Event.
- Bidder: the ticket holder's bidder number, for an event linked to an auction. It reads No bidder when the ticket holder isn't one, and shows Details differ when the bidder's name or email no longer matches the ticket. On an event that offers bidder sign-up, a card status appears under the bidder number: Card Ready, Card Needed or Needs Review. Needs Review is followed by its reason, such as "Shares an email with Maria Lopez, bidder #12". See Offering bidder sign-up and a card to guests for an Event.
- Check-In: a Check In button, or Checked In with the date and time and an Undo button. It shows a dash for a canceled ticket. See Checking in guests from the Tickets tab of an Event.
- Actions: Edit and View.
Click a column heading to sort by it. Required Info and Actions can't be sorted.
What is still outstanding
When guest details requests are turned on for the event, a line above the list shows what the event's tickets still need, such as "1 missing a name · 10 missing required info · 5 need a card". Click a count to list those tickets. The card count appears on an event that offers bidder sign-up, and a count of zero is left out. When nothing is outstanding, the line reads "Every ticket is complete."
Searching and filtering
- In the search box, type a name, email, organization or id.
- Click the filter button to open the filters.
- Choose from Ticket Type, Required Info, Attending?, Check-in, Missing Contact Info, Custom Ticket Question, Bidder, Guest Details Request and, on an event that offers bidder sign-up, Card.
- Click Save to apply them. Click Clear All to remove them.
Editing or viewing a ticket
- Click Edit to open the Edit Ticket window, change the ticket holder's information, and click Save.
- Click View to open the full Ticket detail view.
For an event linked to an auction
Each row has a checkbox, and Create Bidders and Update Bidders appear above the list. Select tickets, then click one to make their holders bidders or to bring existing bidders up to date. See Creating and updating bidders from an Event's Tickets tab.
Exporting
Click Export to download the list of tickets. The file includes a Checked In At column.
Note: When guest details requests are turned on for the event, each row has a checkbox and a Request Details button appears above the list, for sending a request or a reminder. The checkboxes also appear when the event is linked to an auction. Changing a ticket's email address here stops the earlier guest's link from working.
